Job Description:

The Director of Practice Management ensures all Front Office operations are functioning accurately for patient scheduling, insurance verification for billing, patient collections and generation of management reports. Oversees patient financial interactions and manages maintenance of medical records in the Electronic Medical Record (EMR) system following legal guidelines.

Essential Functions:

  • Responsible for hiring, training, supervising, developing ,evaluating, motivating and staff adherence to all front office policies and procedures;
  • Ensures adequate front office staffing for all locations;
  • Responsible for the accuracy of all data entry done by the front desk and monitors completion of all tasks assigned to the front office staff for efficient operation of the office;
  • Prepare and provides analysis of monthly reports;
  • Quality control of data entry of patient information in Greenway;
  • Works closely with the Volunteer Coordinator to develop meaningful job functions for volunteers who are assigned to the front office;
  • Develops, revises and implements all front office procedures as necessary;
  • Ensures accuracy and reconciliation of billing and patient accounts;
  • Ensures accuracy of patient insurance information
  • Manages and adjusts staff and volunteer provider schedules and templates;
  • Manages the coordination of on-call after hours provider communication;
  • Oversee the pager administration process;
  • Manages and coordinates clinic space and room reservations;
  • Ensures collection of payments, donations and/or co-pays;
  • Oversee the deposit reconciliation and collection process at all locations;
  • Responsible for bus pass distribution
  • Responsible for making sure all requests and concerns from staff and patient/clients are promptly resolved;
  • Works with managers and vice presidents to assist in developing policies, guidelines and procedures that assist in the smooth operation of their programs as it relates to the front office functions;
  • Responsible for the entire appointment and scheduling process, assuring that provider scheduling guidelines and procedures are followed including changes in the Clinic master calendar are updated and implemented and scheduling is maintained accurately;
  • Responsible for the management, maintenance, confidentiality and security of patient records and the release of patient information per requests received in compliance with HIPAA, and all applicable federal, state, and local statutes and regulations;
  • Coordinates the implementation, maintenance, accuracy and upgrade of all patient related softwares;
  • Responsible for making sure all requests and concerns from staff and patient/clients are dealt with promptly and assures patient satisfaction and customer services goals are met;
  • Ensuring key front office quality metrics and indicators are met;
  • Creating, monitoring, presenting PDSAs;
  • Provide new employee orientation to new hires
  • Daily monitoring of billing, scheduling and registration emails;
  • Identifies and resolves errors related to billing, patient registration and scheduling;
  • Communicates availability of open slots in real time;
  • Manage interpreter and translation services;
  • Daily interfacing with offsite/satellite locations for registration, scheduling and billing;
  • Attends departmental meetings as needed;
  • Responsible for the implementation and maintenance of computerized patient data entry and handles new staff related access and updates;
  • Is a team member of the Kansas City CARE Clinic supporting other staff members when needed;

Physical Demands/Working Conditions:

  • Intermittent physical activity including walking, standing, sitting, lifting of 25lbs. or more and supporting of patients;
  • Exposure to virus, disease and infection from patients in working environment;
  • Flexibility to adjust work schedule as needed to coordinate and accommodate changes in staff schedules;
  • May experience traumatic situations including psychiatric, dismembered and deceased patients.

Position Type: Full-time

Experience and Skills:

  • Minimum of Bachelor’s Degree in business, healthcare administration or related field; Masters preferred
  • Minimum of 3-5 years medical office and supervision experience;
  • Some finance experience preferred;
  • Data Management Experience required;
  • Able to acquire Missouri Notary Public Certification within 90 days
